Frequently Asked Questions
Your questions answered
A project budget tracker helps you monitor how much of your project budget you have spent as work progresses. Without one, it's easy to overspend before you notice. Spreadsheets go out of date instantly. This tool updates in real time so you always know your remaining balance.
Enter your project name and total budget. Add spend categories (e.g. Design, Development) with a budget for each. Then log expenses by date, category, description, and amount. The tool instantly calculates spent, remaining, and warns you when you are over budget.
A good starting point is one category per resource type: Design, Development, Tools, Contractors, Marketing, Legal. For smaller projects just use 'Services' and 'Tools'. For larger ones split by phase or vendor. The point is to contrast planned vs actual at the right granularity.
The approval flag lets you track which expenses are confirmed vs pending. This is critical for agencies handling client billing - you need to know what is approved before invoicing. Filter by approval status in the budget tracker to see what still needs sign-off.
The tool shows a red warning banner and highlights the remaining balance in red. The per-category bars also show red when a category is over budget. This gives both an at-a-glance summary and a drill-down view of exactly where you are overspending.
Everything runs in your browser. No budget data is sent to any server. Data is stored in localStorage for 7 days so you can refresh and resume, then it disappears. For a permanent, team-shared budget that everyone can see, sign up to Worklenz.
